2. Website delivery and server data

When this website is accessed, technically necessary connection data is processed. This may include the IP address, time and destination of the request, amount of data transferred, HTTP status, browser identifier and referring page. Processing is necessary to provide the website securely and reliably, prevent attacks and investigate faults.

The legal basis is Article 6(1)(f) GDPR. The legitimate interest is the secure, stable and misuse-free operation of the website.

The website is hosted by Hetzner Online GmbH, Industriestraße 25, 91710 Gunzenhausen, Germany. Hetzner processes the data required for hosting as a processor.

3. Enquiry form

The enquiry form processes your name, email address, service interest, district or postcode, message and language and, where provided voluntarily, your telephone number and interest in a price option. The information is used solely to deliver and answer the enquiry and, where applicable, to take steps before entering into a contract. An enquiry is not a booking.

The legal basis is Article 6(1)(b) GDPR for pre-contractual communication. Security, misuse-prevention and delivery evidence is processed under Article 6(1)(f) GDPR.

The website does not maintain its own customer database and does not store enquiry content in application logs. Pseudonymised checksums are processed to limit duplicate or abusive submissions: duplicate markers for no more than ten minutes and rate-limit markers for no more than 24 hours. Content-free delivery logs containing a timestamp, random correlation identifier, outcome, duration and, where applicable, provider status are retained for no more than 14 days.

4. Sending and receiving enquiries

Brevo’s transactional email service is used to transmit form enquiries. The form information is sent to Brevo and delivered by email exclusively to EKAJ’s mailbox. The provider is Sendinblue GmbH, Köpenicker Straße 126, 10179 Berlin, Germany, or its affiliated Brevo companies. The account currently retains transactional logs for one month; storage of email previews is disabled.

Brevo has stated that technical link measurement cannot be completely disabled for transactional emails sent through its shared sending infrastructure. Brevo uses it to detect abuse, monitor its platform and protect its sending reputation. EKAJ uses Brevo’s anonymous measurement setting and explicitly provides no consent to individual open or click measurement for the EKAJ recipient mailbox. Open and click events should therefore not be associated with a specific recipient. This provider function concerns processing of the message in EKAJ’s mailbox; it does not monitor the enquirer’s use of the EKAJ website. The website does not embed a Brevo tracker, and Brevo does not set cookies there.

EKAJ’s mailbox is provided by Infomaniak Network SA, Rue Eugène-Marziano 25, 1227 Les Acacias, Switzerland. Enquiries and replies are processed there as email. The European Commission has adopted an adequacy decision for Switzerland under Article 45 GDPR. Infomaniak’s contractual information specifies daily backups retained for seven days for the mail service.

Email correspondence is retained for as long as necessary to handle the enquiry, manage a subsequent contractual relationship, or establish, exercise or defend legal claims. Commercial and tax records are retained for the applicable statutory period.

5. Local storage and cookies

The website does not use analytics, advertising or social-media trackers. It does not embed external maps, videos or fonts.

To retain an unsent enquiry when you move between pages, the service interest, approximate location and price-option interest may be stored in the browser’s session storage. This information is limited to the current browser tab, is deleted after a successful submission and expires no later than the end of the browser session. The legal basis is section 25(2)(2) TDDDG; subsequent processing is based on Article 6(1)(b) GDPR.

Strictly necessary cookies are used only where required for a feature expressly requested by the user, such as access to a protected review version. They are not used for advertising or audience measurement.

6. Recipients and processors

Personal data is available only to EKAJ and to the service providers used for hosting, email transmission and mailbox operation where necessary for the purposes described above. The agreements, instructions and subprocessor relationships required by Article 28 GDPR have been reviewed for operation. Data is not disclosed for advertising purposes.

7. Data subject rights

Subject to the statutory requirements, data subjects have rights of access, rectification, erasure, restriction of processing and data portability. They may object to processing based on legitimate interests. Consent may be withdrawn at any time with effect for the future.

8. Required information and automated decisions

The mandatory form fields are required so EKAJ can understand and answer the enquiry. The form cannot be submitted without them; direct contact by email remains available. No automated decision-making or profiling takes place.
